Registration Tags in PaymentWorks

The Registration Tags feature allows payers to add, view, and filter tags on New Vendor Requests (NVRs). This functionality helps streamline workflows by organizing and categorizing registrations for easier management.


Viewing Tags

  • Who can view tags?
    Any payer user with permission to view an NVR can see the tags applied to that NVR.
  • Tags are displayed in both the NVR list view and details view.


Adding Tags

  • Who can add tags?
    Payer users with permission to approve or reject an NVR can add tags.

Steps to Add a Tag:

  1. Navigate to the NVR list view and select the NVR you wish to tag.
  2. In the NVR details view, scroll to the bottom of the page.
  3. Click the +Add Tag button in the Tags section.
  4. Enter your tag (up to 80 characters) and press Enter to add it.

Autocomplete for Existing Tags:

  • If tags already exist in your payer account, the system will autocomplete to show matching tags as you type.
  • To reuse an existing tag, select it from the dropdown list.
  • Note: Tags are case-sensitive, though autocomplete suggestions are case-insensitive.

Tag Sorting:

  • After adding tags, they will automatically sort alphabetically when the page is refreshed.

Removing Tags

  • Who can remove tags?
    Payer users with permission to approve or reject an NVR can remove tags.

Steps to Remove a Tag:

  1. In the NVR details view, locate the tag you want to remove in the Tags section.
  2. Click the "x" to the right of the tag.

Important Notes on Removing Tags:

  • Removing a tag disassociates it from the NVR but does not delete the tag from your organization's tag database.

Editing Tags

  • Tags cannot be edited directly.
  • You can add or remove tags from an NVR, but existing tags in the payer’s database cannot be modified or deleted.

Filtering NVRs by Tags

  • Who can filter tags?
    Any payer user with permission to view NVRs can filter by tags.

Tag Filtering Options:

  • Exact Match:
    • By default, the filter searches for tags that exactly match the entered text, regardless of case.
    • Example: Entering "abc" with the Exact Search checkbox checked will return results for ABC, Abc, abc, etc.
  • Partial Match:
    • Uncheck the Exact Search checkbox to include tags that start with the entered text.
    • Example: Entering "ab" will return results for AB, abc, ABBA, abcd, etc.

Important Notes on Tags

  • Notifications:
    Tagging an NVR with a user’s name does not notify that user.

  • Collaboration:
    While tags can indicate who is working on an NVR, tagging does not restrict other users from accessing or modifying the same NVR.


Best Practices for Using Tags

  • Use standardized tag naming conventions to maintain consistency.
  • Regularly review and update tag usage to ensure they remain relevant and organized.

Tags are a powerful tool to improve efficiency and ensure smoother collaboration across your organization when managing NVRs!
