Bulk Invitation Cancellation and Resending

Overview
The Bulk Invitation Cancellation and Resending features in PaymentWorks streamline the management of payee invitations during the onboarding process.

1. Bulk Invitation Cancellation: Sort by vendor name and cancel payee invitations with minimal effort.
2. Bulk Invitation Resending: Resend invitations to email addresses that have already received a New Vendor Registration (NVR) invitation.

These features enable efficient management of invitations that need to be canceled or resent, particularly during large-scale onboarding processes.

Key Enhancements

Bulk Invitation Cancellation (Easy Cancel)

• Filters:

  • Sort by Invitation Sent Date: Added to the Onboarding tab filter section.
  • Sort by Vendor Name: Allows users to quickly locate invitations by vendor.
  • Show Easy Cancel Checkbox: A checkbox in the filter section of the Onboarding tab (off by default).
    
    

• Cancellation Process:

  • Enabling the “Show Easy Cancel” checkbox displays the “Cancel Invitation” button on eligible registration tiles.
  • Users can cancel invitations directly from the vendor tile and confirm the cancellation via a modal.

Bulk Invitation Resending

• Improved Error Handling: Invitations can now be resent to payees who have already received an invitation.

• Resend Process:

  • Invitations can be resent to previously invited email addresses.
  • Resent invitations will use the latest data (e.g., personalized messages, initiator custom fields) provided in the bulk invitation file.
  • Payees will receive a new invitation email for each resent invitation.
  • Resent invitations are included in the "Total Invites Sent" count of the bulk invitation report.

Best Practices

Using Easy Cancel

This feature is particularly useful for managing multiple invitations sent to the same vendor. For example:

• Scenario: A Payer sends multiple invitations to a vendor at different email addresses. Once the vendor submits their NVR via one email, the remaining invitations can be canceled.
• Steps:
  1. Use filters to narrow the date range of sent invitations.
  2. Sort by vendor name to review all invitations sent to a specific vendor.
  3. Click the Cancel Invitation button on eligible tiles and confirm the action in the modal.

Resending Invitations

• Resent invitations ensure payees receive updated data, maintaining accurate communication.
• Always verify and update invitation data before sending bulk invitations.
