How to Upload Files to Your Vendor Registration

As part of the vendor registration process on PaymentWorks, you may be required to upload one or more documents. Follow the steps below to successfully upload your files.

As a payee registering on PaymentWorks, you may be required to upload various documents to complete your vendor profile. Commonly requested files include:

  • Tax Forms: Such as W-9 for U.S. entities or W-8 for foreign entities, to verify tax identification and classification.

  • Bank Validation Documents: To confirm banking details, you might need to provide a voided check, a pre-printed deposit slip, a bank statement, or a bank letter on official letterhead.
  • Certificates of Insurance (COI): Proof of insurance coverage as required by your customer.
  • Business Licenses or Certifications: Documentation verifying your business's legal status and qualifications.

  • Company Profile Information: Details about your business, including ownership structure, contact information, and a description of goods or services provided.

These documents help ensure compliance and facilitate secure transactions between your business and your customers.  


If your customer requests a document upload as part of your vendor registration, you will see a required Choose File button on the form. Follow these steps to complete the upload process:

Steps to Upload a File

  1. Click the “Choose File” Button

    • Locate and click the “Choose File” button on your vendor registration form.
  2. Select Your File

    • A pop-up window will appear.
    • Navigate to the location of the file on your device.
    • Ensure your file is in one of the accepted formats:
      • Image files: .jpg, .jpeg, .png
      • PDF files: .pdf
  3. Upload the File

    • Select the desired file and click the “Open” button (on a PC) or “Choose” (on a Mac).
  4. Confirm Your Upload

    • You’ll know the file was successfully uploaded when the file name appears next to the “Choose File” button.

Tips for a Successful Upload

  • Ensure the document meets any specific requirements outlined by your customer (e.g., file size or content).
  • Double-check that the correct file was selected before proceeding.
  • If you encounter issues, verify that the file format is supported and try again.
