      "Short" Form - How it Works

      The "Short" form is a configurable feature in PaymentWorks that offers a streamlined version of the vendor registration form.

      How it works - Payer Functionality

      Invite New Vendor

      • The initiator of an invitation can select between two form types with the use of a  new form type field in the initiator “invite new vendor” modal. 
      • Selecting the “Send Invitation” button on the onboarding tracker tab will display the “invite new vendor” modal. A field called “Form Type” is displayed and auto filled with the “Default” option. Initiators can use the drop down to select “Short” Form.

       

       

      Form Type Info - Onboardings

      • The "Form Type" field has been added to the initiator fields section of the  onboarding tracker→ expanded view → invitation details and will reflect the form type sent via the New Vendor Invitation modal. 

      Resend Invitation

      • A payer can select the "Resend Invitation" button in the "onboarding tracker→ expanded view → invitation details" tab to open the "resend new vendor invitation" modal and select a different form type. 
      • Initiators of a "Resend Invitation" will see a “Form Type” field in the list of fields on the “resend new vendor invitation” modal.
      • The field will be auto filled with the form that was previously sent to the vendor. Initiators of the resend invite can use the drop down to select the other form if desired.

      Return to Vendor

      • During the approval step in the onboarding process a new vendor registration form can be returned via the "New Vendor → Requests" page. Once the "return to vendor" button is selected a "return registration to vendor" modal will appear with an additional field "form type". 
      • The user returning the registration can select a different form type from the drop down. 
      • The field will be auto filled with the form that was previously sent to the vendor. 

       

      Form Type Information - Request Tab

      • The "Form Type" field has been added to the onboarding tracker→ expanded view → invitation details tab and will reflect the form type sent via the registration invitation.
      • The "Form Type" field has been added to the New Vendors → Requests page. This type will reflect the form type sent via the registration invitation.

      Payee Functionality 

      • No change to the Payee process. 

      Scope and Limitations

      • The short form does not extend past two form types. Only short and default forms are supported through this initiative. 
      • There are no changes to approval functionality.
      • The same registration form validations also apply to the short form.
