Updating Company Profile Information

Keeping your company profile up-to-date ensures your customers have the correct information for payments and communications. The PaymentWorks platform makes it easy to update your business details, including remittance and corporate addresses. Updates are subject to your customer’s approval before they take effect.


Accessing Your Company Profile

  1. Log in to your PaymentWorks account at PaymentWorks Login.
  2. Click on the Company Profile link in the top-right corner.

From here, you can access and update the following sections:

  • Marketing Information
  • Business Details
  • Tax Forms
  • Corporate and Remittance Address Information

Marketing Information

The Marketing Information tab contains details visible to your current and prospective customers on PaymentWorks. This section helps showcase your business.

Fields You Can Update:

  • Corporate Address
  • Phone Number
  • Company Website URL
  • Business Description
  • Company Logo
  1. Click the Edit button in the bottom-right corner.
  2. Make the necessary changes.
  3. Click Save to finalize.

Business Details

The Business Details tab contains private information shared only with your connected customers. This section primarily houses tax-related details.

Fields You Can Update:

  • Legal Name
  • Tax Country
  • Tax Identification Number (TIN) Type
  • Tax Number
  • Tax Classification
  • D&B D-U-N-S Number (if applicable)
  1. Click the Edit button in the bottom-right corner.
  2. Update the required fields.
  3. Click Save to finalize your changes.

IRS Validation Status:

  • VALID (Green): The Legal Name and TIN combination match the IRS database.
  • INVALID (Red): Review and correct the information as necessary. A new IRS validation will run when you save changes.

Tax Forms

The Tax Forms tab allows you to upload or update your W-9 or W-8 forms.

If You Agreed to Electronic W-9 Generation:

Updates to your Company Profile automatically generate a new W-9 form. The updated form will be shared with your customer.

To Upload a New Tax Form:

  1. Click the Browse button.
  2. Select the file you want to upload.
  3. Click Upload to finalize.

Reviewing Existing Forms:

Click the File on record link to view the current W-9 or W-8 form on file with your customer.

Updating Address Information

If your remittance or corporate address has changed, follow the steps below to update them.

Part A – Remittance Address Update

  1. Log in to your PaymentWorks account.
  2. Click on your monogram icon in the top-right corner, then select Company Profile.
  3. Click Remittance Addresses on the left menu bar.
  4. Click the pencil/edit icon next to the current address to make changes.
  5. Click Save to finalize.

Part B – Corporate Address Update

  1. Log in to your PaymentWorks account.
  2. Click on your monogram icon in the top-right corner, then select Company Profile.
  3. Click Marketing Information on the left menu bar.
  4. Click Edit, make your changes, and click Save.

Part C – Adding or Sharing Additional Remittance Addresses

  1. Log in to your PaymentWorks account.
  2. Click Company Profile in the top-right corner.
  3. Click Remittance address on the left menu bar.
  4. Click Create New Address and complete the address fields. When prompted, share the address with your customer.
