Cancelling and Deleting New Vendor Invitations

Overview

In PaymentWorks, customers can cancel invitations for payees if the vendor registration has not yet been submitted. Cancelling invitations helps organizations manage onboarding efficiently and ensures vendor email addresses can be reused if needed. Below is an explanation of how to cancel and handle invitations.


Cancelling Invitations

Steps to Cancel an Invitation:

  1. Locate the Onboarding Record for the payee whose invitation you want to cancel.
  2. Open the Details View of the record.
  3. Click the Cancel Invitation button.
  4. Confirm the action by clicking OK when prompted with “Are you sure you want to proceed?”

Note: Only users with permission to cancel invitations can perform this action.

What Happens When You Cancel an Invitation?

  • The invitation link sent to the payee is deactivated, preventing them from registering.
  • The invitation’s status will update to Cancelled.
  • Reminder emails associated with the invitation are automatically disabled.

Viewing Cancelled Invitations:

By default, cancelled invitations are hidden in PaymentWorks. To view cancelled invitations:

  1. Adjust the filter options in the Onboarding Tracker.
  2. Check the “Show Cancelled Only” box to display all cancelled invitations.

Tip: Cancelling invitations is particularly useful when onboarding payees is no longer required or to reuse a payee’s email address.

Deleting Invitations

Customers cannot delete invitations from their PaymentWorks account. The ability to delete invitations has been removed to prevent issues with data integrity. Instead, customers should use the Cancel Invitation feature to manage both claimed and unclaimed invitations.

By cancelling invitations, customers ensure the onboarding record is deactivated without risking the deletion of important data.
