Overview
The "short" form feature simplifies the process of onboarding new vendors by providing a second option for a shorter registration form. The purpose of the short form is to better map the onboarding experience to an individual Payee persona, making it easier to complete the registration form.
Payers now have more control over resending, correcting, and handling mistakes on the registration form during onboarding, aiming to improve the overall experience while maintaining onboarding via PaymentWorks.
Four primary enhancements have been made:
-
Payers can choose which custom fields are displayed on different form types.
-
Initiators can decide whether to send the default (long) form or the short form to the Payee.
-
Initiators/approvers can change/update the form type during onboarding or final approval process.
-
ERP integrations remain unchanged.
Enabling Short Form
The "short" form functionality is available to all users upon request. Payers that wish to enable and use this feature should submit a change request specifying the following:
- Which custom fields from the Payer’s default registration form should be visible on the short form.
- In order to preview your registration form, you can paste the following link into your browser while you have an active session into your PaymentWorks account: https://www.paymentworks.com/df/new-vendor-setup/nvr/
- More information about Short Form - How it Works can be found HERE
- What the initiator field should be named (“Select Form Type”)
- What the form type should be labeled ( “Short Form” and “Default Form”)
Note: Depending on demand for enabling this functionality, the change requests may require longer than usual processing time to complete.
Defining the Short Form
The registration form consists of two field types: "Core" (defined by PaymentWorks) and "Custom" (defined by Payers). PaymentWorks has reduced the number of core fields required for the short form. Payers must specify which existing custom fields should be displayed on the short form, since custom fields are payer-specific.
Core Fields: Std. Defined by PaymentWorks and reduced to min fields required for validations. |
Custom Fields: Non-Std and defined by each Payer. |

Payers also have the option to request a change to how the form name will appear in the form type dropdown when sending invitations to payees. This configuration is designed to help initiators understand which form to send to the Payee, improving clarity and usability. The naming of these labels should also be specified in the change request form.
